How do I schedule surveys in Employee surveys?

Schedule a pulse survey from the Scheduling tab, or use the Engagement Radar tab to run the standard Engagement model.


Which scheduling option should I use in Employee surveys?

Employee surveys has two scheduling options. The option you should use depends on what you want to send.

  • Pulse survey: Go to Employee surveys > Schedule > Scheduling. Use this option to schedule one of your own pulses or a predefined pulse survey. A pulse survey can be sent once or repeated.
  • Engagement model: Go to Employee surveys > Schedule > Engagement Radar. Use this option to send the standard Engagement model as either a baseline measurement or continuous measurement. 

The Engagement model contains 29 questions.

A baseline measurement sends all 29 Engagement model questions at once.

A continuous measurement sends the 29 Engagement model questions across 4 rounds. The first round contains 8 questions, and the next 3 rounds contain 7 questions each. The cycle repeats until an Administrator stops it.
 

When should I use the Engagement model?

Use the Engagement model when you want a ready-made engagement measurement based on the standard Engagement model.

The Engagement model gives you:

  • An engagement overview across the organization 
  • One KPI for overall engagement
  • One KPI for each engagement driver 
  • An eNPS score/KPI
  • Trend tracking over time
  • Minimal administration after the model starts 

Use a baseline measurement when you want to establish a starting point by sending all 29 questions at once.

Use continuous measurement when you want the Engagement model questions to be sent repeatedly over time.


Who can schedule surveys in Employee surveys?

Permissions depend on which scheduling option you use.

For pulse surveys:

  • Administrators can schedule, edit, and remove all pulse survey schedulings. 
  • Managers can schedule, edit, and remove pulse survey schedulings they created. 
  • Managers can only schedule pulse surveys for groups where they are group owners. 

For the Engagement model from Engagement Radar:

  • Only users with the Administrator role in Employee surveys can schedule, edit and stop the Engagement model.
     

How do I schedule a pulse survey?

Use the Scheduling tab when you want to schedule one of your own pulses or a predefined pulse survey.

  1. Go to Employee surveys > Schedule. 
  2. Open the Scheduling tab.
  3. Click Add schedule.
  4. Choose Pick a pulse.
  5. Select the pulse survey you want to send. 
  6. Review the preview of the survey and questions. 
  7. Click Next.
  8. Turn on Advanced at the top of the page. 
  9. Select the recipients.
  10. In the Results visibility box, turn on Advanced and set result visibility for the scheduling. 
  11. Click Next.
  12. Select the Open questions on date and time. 
  13. Turn on Advanced if you want to select the Questions close on date and time. 
  14. Choose whether the pulse survey should repeat. 
  15. Preview the notification email.
  16. To customise the notification email, activate Advanced settings, then turn on Custom notification email. 
  17. Edit the Email header and add a Notification message if needed. 
  18. Preview who the result emails will be sent to. 
  19. Keep the result email toggle on if result emails should be sent, or turn it off if they should not be sent. 
  20. Click Complete to save the pulse survey scheduling. 

To change who receives result emails, complete the scheduling first. Then go to Account > Email Settings > Results email.

How do I select recipients for a pulse survey?

Select the groups that should receive the pulse survey.


Do not use Select everyone when scheduling a pulse survey. Select the relevant groups instead.


Select a parent group when you want to see an aggregated result for several groups.


If you do not want to include all subgroups, select the parent group first and then clear the subgroups you do not want to include.


If you do not want an aggregated result, select the separate groups instead.


To target a specific segment within the selected groups, click Advanced settings. You can only schedule a pulse survey for a segment if attributes have been added to your Employee surveys account.


Important: There is no limit to how many groups you can select. However, results may be hidden by the integrity framework if selected groups are almost identical. There must be a difference of at least 3 responses between the groups for results to be displayed.


How do I set result visibility for a pulse survey?

In the Results visibility step, turn on Advanced in the Results visibility box.

You can then choose who can see results and comments for the pulse survey scheduling.

  • Group members: Users who answer the questions 
  • Group owners: Managers who are owners of the group 
  • Results: Gives access to results for that group 
  • Comments: Gives access to submitted comments within the targeted groups 

Note: Administrators in Employee surveys always have access to all results and comments. Their access is not controlled by the Results visibility settings.


In Results visibility, Their own group depends on the user's group role:

  • For Group members, it means the group they are a member of. 
  • For Group owners, it means the group they own. 
  • If a user is both a group member and a group owner, both visibility rules can apply. 

Important: If you want users or managers to see comments, comments must also be enabled under Account > Company Settings > Results integrity. If comments are disabled there, users and managers cannot see comments even if Comments is selected in Results visibility.

How do I choose date settings for a pulse survey?

Select Open questions on to choose when the pulse survey should open.

Pulse surveys close by default on the next Sunday at midnight.

To choose a different closing date and time, turn on Advanced and select Questions close on.

A pulse survey can stay open until a maximum of the second upcoming Sunday.

For example:

  • If the pulse survey opens on a Monday, it can stay open for 2 weeks. 
  • If it opens on a Wednesday, it can stay open for about 1.5 weeks because the maximum is still the second upcoming Sunday. 

Note: Results are generated on Monday mornings. You can close the survey on another weekday, but final result reporting is still available the following Monday.

How do I repeat a pulse survey?

You can repeat a pulse survey if you want to send it more than once until a defined end date.

The available repeat options are:

  • Weekly
  • Biweekly
  • Monthly
  • Bimonthly

Choose Do not repeat if you want to send the pulse survey only once.

If you want to repeat the survey on another interval, select Do not repeat and create additional schedulings for the required dates.


How do I customise the notification email for a pulse survey?

To customise the notification email:

  1. Activate Advanced settings in the notification email step. 
  2. Turn on Custom notification email. 
  3. Edit the Email header.
  4. Add a Notification message.

Tip: Preview the notification email before completing the scheduling so you can check how it will look.


How do I run the Engagement model as a continuous measurement?

Run the Engagement model as a continuous measurement when you want Employee surveys to send Engagement model questions continuously over time.

  1. Go to Employee surveys > Schedule. 
  2. Open the Engagement Radar tab. 
  3. In Continuous measurement, click Run the model. 
  4. Turn on Advanced at the top of the page. 
  5. In Recipient, select the recipient Group. 
  6. In Frequency, select Weekly, Biweekly, or Monthly. 
  7. Review the date information. Dates cannot be changed for continuous measurement. 
  8. In the Results visibility box, turn on Advanced and set result visibility. 
  9. Click Start.


Important: You cannot choose an exact send-out date for continuous measurement.

After you click Start, the measurement starts shortly after activation and closes on the upcoming Sunday.
Each following round is sent on Monday at 10:00 AM according to the interval you selected.

Each round closes on the upcoming Sunday at 23:59.

Results are sent on the Monday after each round closes.

Tip: Start continuous Engagement model measurement at the beginning of the week if you want the first round to run as cleanly as possible.

How do I schedule an Engagement model baseline measurement?

Schedule a baseline measurement when you want to send all 29 Engagement model questions at once.

  1. Go to Employee surveys > Schedule. 
  2. Open the Engagement Radar tab. 
  3. In Baseline measurement, click Schedule measurement. 
  4. Turn on Advanced at the top of the page. 
  5. In Recipient, select the recipient Group. 
  6. Under Date, select the Open questions on date and time. 
  7. Select when the measurement should close in Close questions on. 
  8. In the Results visibility box, turn on Advanced and set result visibility. 
  9. Click Start.

Baseline measurements close by default on the upcoming Sunday at 23:59.

To choose a different closing date and time, turn on Advanced.

A baseline measurement can stay open until a maximum of the second upcoming Sunday from the Open questions on date.

Note: Results are generated on Monday mornings. You can close the baseline measurement on another weekday, but final result reporting is still available the following Monday.


How do I select recipient groups for the Engagement model?

Select the groups that should receive the Engagement model questions.

How do I stop continuous Engagement model measurement?

Only Administrators can stop continuous Engagement model measurement.

Go to Employee surveys > Schedule > Engagement Radar, then click Stop in Continuous measurement.

Tip: You can stop continuous Engagement model measurement during holidays or other periods when you do not want questions to be sent.

Important: Only stop continuous measurement between question rounds. If you stop the model while a round is live, the results for that round are removed.


How do I change groups or frequency for continuous Engagement model measurement?

You must stop the Engagement model before changing groups or frequency.

When a round has finished, stop the continuous measurement. You can leave the Engagement model stopped for as long as needed before you change the settings and start it again.

  1. Go to Employee surveys > Schedule. 
  2. Open the Engagement Radar tab. 
  3. In Continuous measurement, click Stop between question rounds. 

The Engagement model will remain stopped until you activate it again.

When you are ready for the next round to start, you can change the settings and start the model again:

  1. Click Activate.
  2. In the dialog, click Edit settings. 
  3. Turn on Advanced at the top of the page. 
  4. Update the recipient group, frequency, or Results visibility. 
  5. Click Start.

Important: You cannot change the settings, save them, and wait to start the Engagement model later. The settings are applied when you click Start, and the next round starts shortly afterwards. Only change the settings when you are ready for the Engagement model to begin again.


Important: Do not stop the Engagement model while a question round is live. If you stop it during an active round, the results for that round are removed.

Important: If you click Activate without selecting Edit settings, the Engagement model starts again with the existing settings.


How do I edit result visibility for an Engagement model measurement?

You can edit result visibility without stopping continuous Engagement model measurement.

  1. Go to Employee surveys > Schedule. 
  2. Open the Engagement Radar tab. 
  3. In Continuous measurement, find the relevant measurement in the History list. 
  4. Click the pen icon.
  5. Update who can see Results or Comments. 
  6. Click Save.

The new result visibility setting applies immediately.


How do I edit or remove a pulse survey scheduling?

Administrators can edit and remove all pulse survey schedulings.

Managers can edit and remove only the pulse survey schedulings they created.

  1. Go to Employee surveys > Schedule. 
  2. Open the Scheduling tab.
  3. Adjust the timeline if the scheduling is not visible. 
  4. Find the scheduling you want to edit or remove. 
  5. Click the three dots to the right of the scheduling. 
  6. Click Edit or Remove.

For future or ongoing schedulings, you can edit all settings.

For past schedulings, you can only edit result visibility.

Note: You can only change Questions close on while the scheduling is still live. The maximum open period still applies.

Important: If you delete a past or ongoing pulse survey scheduling, the results for that scheduling are permanently deleted and cannot be restored. Changes to an ongoing scheduling can also affect results.


How do I edit or remove a baseline measurement?

  1. Go to Employee surveys > Schedule. 
  2. Open the Engagement Radar tab. 
  3. Open the Baseline measurement section. 
  4. Find the baseline measurement you want to edit or remove. 
  5. Click the three dots to the right of the scheduling. 
  6. Click Edit or Remove.

For future or ongoing baseline measurements, you can edit all settings.

For past baseline measurements, you can only edit result visibility.

Note: You can only change Close questions on while the baseline measurement is live. The maximum open period still applies.

Important: If you delete a past or ongoing baseline measurement, the results are permanently deleted and cannot be restored.

Important: If you change an ongoing baseline measurement, the change affects the current state and can affect results.


When are survey result emails sent?

For pulse surveys and Engagement model measurements, result emails are sent on the Monday after the survey or measurement has closed.

For pulse surveys, you can preview who will receive result emails while scheduling.

Keep the result email toggle on if result emails should be sent, or turn it off if they should not be sent.

To change who receives result emails, go to Account > Email Settings > Results email.


What can I use if the Engagement model does not fit my needs?

If baseline or continuous Engagement model measurement does not fit your needs, you can use shorter engagement pulses from the Pulse library.

Examples include:

  • Diagnose Engagement Drivers
  • Diagnose Engagement Drivers (Large)
  • In-depth driver pulses

Can I start with a baseline measurement and later use continuous Engagement model measurement?

Yes. You can run a baseline measurement first and later start continuous Engagement model measurement.

What is the difference between a pulse survey and the Engagement model?

A pulse survey is scheduled from the Scheduling tab. You can select one of your own pulses or a predefined pulse survey.

The standard Engagement model is scheduled from the Engagement Radar tab. It contains 29 questions and can run as a baseline measurement or continuous measurement.

Can I choose the first send-out date for continuous Engagement model measurement?

No. Continuous measurement starts shortly after you click Start. You cannot choose an exact first send-out date.
